Ordering a Diploma

The Office of the University Registrar orders diplomas at the end of the term for all students graduating that term. Schools and departments post final grades that determine if a student has met the requirements to graduate and receive a diploma.

The Office of the University Registrar mails diplomas approximately eight weeks after graduation to the address entered on a student's degree application.

Certified Electronic Diploma (CeDiploma)

A Certified Electronic Diploma is an official, secure electronic version of the UF diploma that can be obtained more quickly than the diploma by mail. The electronic version can be shared digitally with potential employers, family and friends, and uploaded to job networking sites. CeDiplomas are typically available 8 weeks after a student has graduated.

Note: There is a $12.95 charge for this electronic diploma. CeDiplomas are only available for University of Florida graduates who earned their degree in 2015 onward.

Apostille of the Hague and/or Notarial Certification

An apostille is a certificate issued by the state that authenticates the signature of a public official (notary) on a document for use in another country. For documents used in countries that are not a part of the Hague Convention, a Notarial Certification will be issued. Instructions for how to initiate an apostille request for a University of Florida document are below:

Current and former students can initiate the apostille process for a University of Florida diploma, certificate and/or transcript by providing the following:

  1. Request Form: Complete the university’s Apostille/Notarization request form and submit it to the Office of the University Registrar to start an apostille request for a University of Florida document (diploma, certificate, and/or transcript).

  2. Diploma/Certificates: If a former student needs an apostille completed for their diploma or certificate, the Registrar’s office will need a physical copy of the diploma/certificate or a photocopy of the diploma/certificate, depending on what the receiving country requires. The Registrar's office does not retain copies of diplomas or certificates, so students will need to provide one they currently possess or order a new copy if they do not have their original. If a new diploma or certificate needs to be ordered, please be aware it can take 2-3 months to reproduce.

  3. Transcript Order: If a current or former student would like to order a copy of their official transcript for apostille, they can do so by logging in to their ONE.UF account, clicking on the “Transcripts” dropdown menu and clicking on the “Order a Transcript” option. Students will then be prompted to log in to the National Student Clearinghouse’s Transcript Ordering Center using their Gatorlink username and password. They will also be asked to create a two-factor authentication to verify their identity with the Student Clearinghouse. Once logged in, students must mark the recipient as themself, mark the transcript as “Process As Is,” mark the transcript as being needed for “Certification/Licensure” and mark the transcript as being sent via “Mail/United States” during Step 2 of the ordering process. After indicating how many transcripts they’d like to purchase, students must upload a file to their transcript order before clicking the “Continue” button. Uploading a file to an order ensures the order will be reviewed by the Registrar’s office’s apostille team before the transcript is placed in the mail. It is preferred that the uploaded file is a completed copy of the Apostille/Notarization request form. Once a file has been uploaded, students must provide the address they’d like their transcript sent to after it has been apostilled and then pay for the order to complete the process. (If a student does not have access to their ONE.UF account, they should contact the UF Computing Help Desk at 352-392-4357 to request assistance with gaining access to their account prior to completing this process).

    In addition to the Apostille/Notarization request form and the applicable University of Florida document(s), the Registrar’s office also must receive:

  4. Check(s): A check or money order made payable to the “Department of State.” The Department of State does not accept credit card payment. Students must sign their check or money order before sending it to the Registrar’s office. (Please review the Florida Department of State’s website to see their current price for apostille certification.)

  5. Return mailer(s): A pre-addressed and pre-paid return mailer (envelope/tube/package) with appropriate domestic or international postage. The address on this mailer is where the documents will be sent after the apostille process is complete. The Registrar’s office covers the postage from Gainesville to the Department of State in Tallahassee, but the Department of State requires a mailer to mail the documents back to its recipient once they have been apostilled.

Replacement Diplomas

UF alumni can contact the Office of the University Registrar at help@registrar.ufl.edu for assistance with ordering a new copy of their diploma.

When requesting a new copy of the diploma, please be aware that:

  • Replacement diplomas take two to three months to ship from the date a request is submitted to the Registrar.
  • If a UF graduate has a financial hold on their student record, their diploma will not be ordered until the outstanding obligation has been cleared.

Recent graduates: If more than three months have passed since graduation and a student has not received their original diploma in the mail or received email notification that it has been returned to the Registrar, they should: (1) review their unofficial transcript on ONE.UF to confirm their degree was awarded to them, and (2) check their holds to verify they have no outstanding obligations before they contact the Registrar’s office requesting a new copy of their diploma.

University of Florida Credential Information

Diplomas

University of Florida diplomas are 11.75 inches by 16 inches (11 ¾in x 16in).

UF diplomas will include a student’s honors designation in the top right section of the diploma. If a recent graduate believes their honors designation is listed incorrectly on their diploma, they should reach out to their academic advisor for more information.

UF diplomas do not include minors, tracks, or specializations.
