Room Scheduling Events

Student Groups

Student Groups approved through the Office of Student Activities and Involvement (located in the Reitz Union) may request the use of a classroom. Only officers listed in GatorConnect have access to request the use of classroom space.

Student Groups cannot request classrooms for events that take place during Drop/Add, as open classroom space is reserved for academic sections changing days and times. Once Drop/Add is over, the Registrar’s Office processes event requests in the order that they were received to the best of our ability. Processing can take up to 10 business days during busy periods such as the beginning of the semester. Once an event is processed, the requestor will receive an email confirmation of the reservation.

Requests will not be granted for auditoria room reservations Monday through Friday periods E2-E3 (8:20 pm to 10:10 pm) in the Fall and Spring semesters and periods E1-E2 (7:00 pm to 9:45 pm) in the Summer terms. These rooms are reserved for during-term exams during these times.

Student Groups are fiscally responsible for any damages or unscheduled maintenance caused by the use of reserved rooms.

Misuse of rooms may result in disciplinary action for the members or organization with the offices of the University Registrar, Student Activities and Involvement, or Student Conduct and Conflict Resolution.

University Departments

The Office of the University Registrar also schedules classrooms for during-term exams, reviews, departmental meetings, and more, working in collaboration with a department room scheduler who submits a request. This individual should be the staff member who inputs the Schedule of Courses for the department. Due to the volume of requests, processing can take up to 7-10 business days during the busier times of the term (early in the semester).

Monday through Friday, auditoria are reserved for during-term exams periods E2-E3 (8:20 pm to 10:10 pm) in the Fall and Spring semesters and periods E1-E2 (7:00 pm to 9:45 pm) in the Summer terms. During-term exams can be held weeknights, periods E2-E3 or during normal class hours (additional seating can also be requested). If conflicts arise, consult the exam conflict policies. To avoid conflicts with regularly scheduled classes, reservations for each semester will not be processed until after drop/add.
